VMH Meta Solution Sdn Bhd (“VMH”, “we”, “us”, or “our”) is committed to protecting your personal data and takes all reasonable measures to safeguard it in accordance with the Personal Data Protection Act 2010 (“PDPA”), as amended by the Personal Data Protection (Amendment) Act 2024, together with the Personal Data Protection Regulations 2013 and all related guidelines and codes of practice issued from time to time.

This Privacy Policy (“Policy”) sets out how we collect, use, disclose, store, and protect the personal data you provide to us. This Policy supplements our Terms and Conditions and Services Agreement, and applies to all personal data collected through our website (www.vmhmetasolution.com.my) and any related sub-sites, mobile applications, or digital platforms (collectively, the “Site”), as well as through any other interaction you have with us. By accessing the Site, submitting your personal data to us, or engaging our services, you consent to the collection, use, and disclosure of your personal data in accordance with this Policy.

1. Collection of Personal Data

We collect personal data that identifies you when you voluntarily provide it to us — for example, when you browse our Site, register for our services, submit an enquiry form, or engage our financial consultancy services. The personal data we may collect includes, but is not limited to:

  • Mailing or residential address;
  • Date of birth and gender;
  • National Registration Identity Card (NRIC) number or other identification document details;
  • Employment status and employment details;

When you access our Site through any internet-enabled device, our servers may automatically record technical data, including your IP address, browser type, device information, pages accessed, and the time, date, and duration of your visit.

We collect such data only where it is necessary to provide the services you have requested, and we process it in accordance with the PDPA. We collect your NRIC number and identification details only where reasonably required (for example, for identity verification or to submit an application to a financial institution on your behalf), and we apply additional care in handling this data. Where required by law, we will obtain your express consent before processing sensitive personal data.

We may use cookies (small text files stored on your browser or device) to enhance your experience on our Site. Cookies allow us to recognise your device, personalise content, and improve the functionality of our services. You may manage or delete cookies through your browser or device settings; please refer to your browser’s help documentation for guidance. Disabling certain cookies may affect the functionality of the Site.

4. Purposes of Collection and Use

7. Cross-Border Transfer of Personal Data

Your personal data is generally stored and processed within Malaysia. Where it is necessary to transfer your personal data outside Malaysia — for example, where a service provider operates from another jurisdiction — we will take reasonable steps to ensure that the transfer complies with the PDPA and that your personal data continues to receive an adequate level of protection.

8. Third-Party Payment Processing

When you make payments via credit card, debit card, or other electronic payment methods, your payment information is processed through secure third-party payment processors. VMH does not store your full credit card or debit card details on our systems.

9. Third-Party Websites and Services

Our Site may contain links to, or integrate with, third-party websites and services. This Policy does not apply to those third parties, and VMH is not responsible for their content or privacy practices. You should review the privacy policies of any third party before providing your personal data to it.

10. Security of Personal Data

VMH takes practical and reasonable technical and organisational steps to protect your personal data from loss, misuse, unauthorised access, modification, accidental disclosure, alteration, or destruction. However, no method of transmission over the internet, and no method of electronic storage, is completely secure. While VMH takes reasonable measures to protect your personal data, VMH cannot guarantee absolute security and, to the maximum extent permitted by law, does not accept liability for any unauthorised access to, loss of, or damage to personal data that occurs despite VMH having taken reasonable security measures, or that arises from causes beyond its reasonable control.

11. Data Retention

We retain your personal data only for as long as is necessary to fulfil the purposes for which it was collected, including to satisfy any legal, regulatory, accounting, or reporting requirements. When personal data is no longer required, we will take reasonable steps to securely destroy, delete, or permanently anonymise it.

12. Data Breach Notification

In the event of a personal data breach, VMH will assess the breach and, where required under the PDPA, notify the Personal Data Protection Commissioner and any affected individuals within the timeframes and in the manner prescribed by law. We maintain internal procedures to detect, report, and respond to personal data breaches.

13. Your Rights

Under the PDPA, you have the right to:

  • Request access to the personal data we hold about you;
  • Request correction of any inaccurate, incomplete, misleading, or outdated personal data;
  • Withdraw your consent to the processing of your personal data, subject to legal and contractual restrictions;
  • Request that your personal data be transmitted to another data controller, where technically feasible and permitted by law (data portability); and
  • Make enquiries or complaints regarding our handling of your personal data.

To exercise any of these rights, please contact our Data Protection Officer using the details in Clause 19. We may charge a prescribed fee for a data access request, and may require you to verify your identity before we act on a request. We will respond within the timeframe required by law.

14. Marketing Communications

Where you have consented, we may send you marketing or promotional communications about our services. You may opt out of receiving such communications at any time by contacting us at info@vmhmetasolution.com.my or by using the unsubscribe facility provided in the relevant communication. Opting out of marketing communications will not affect communications relating to a service you have engaged.

VMH has appointed a Data Protection Officer (“DPO”) who is responsible for overseeing compliance with this Policy and the PDPA. You may contact the DPO at info@vmhmetasolution.com.my (Attention: Data Protection Officer), or by post at the address set out in Clause 19.

16. Language

This Privacy Policy is published in the English language. In accordance with Section 7 of the PDPA, a Bahasa Malaysia version of this Policy will also be made available. In the event of any inconsistency between the two versions, the Bahasa Malaysia version shall prevail.

17. Status of This Policy

This Privacy Policy explains our personal data practices. It does not form part of any contract of service and does not create any obligation on VMH beyond what is required under applicable law. Any liability of VMH in connection with the processing of personal data is subject to the limitations and exclusions of liability set out in our Terms and Conditions and Services Agreement, to the extent permitted by law.

18. Changes to This Policy

VMH reserves the right to review and amend this Privacy Policy from time to time to reflect changes in the law, our business practices, or operational requirements. The most current version will be made available on our website, and we encourage you to review it periodically. Your continued use of the Site or our services after any amendment constitutes your acceptance of the amended Policy.
